The Inventory list screen shows you a listing of inventory in the system. The screen is divided into four sections:
- Search (Upper-Left)
- Inventory List (Upper-Right)
- Make-Model Tree (Lower-Left)
- Inventory Recap (Lower-Right)
1. Search (Upper-Left)
- This section allows you to search for record(s) based on different criteria. There are two ways to search:
- Quick Find – Lets you search for a record based on one of the following:
- Stock#
- Account# (for sold vehicles)
- Title/ROS# (Report of Sale)
- Key#
- MC Engine No. (field may be customized, so it may appear differently)
- VIN#
- VIN (Last 6)
- License
- Color
- Lot by State (customers with multiple profiles in different states may search by state)
- Recently Visited Vehicle List – The system now has a list of the vehicles that were recently opened as part of the Quick Find search tool. These vehicles can be quickly accessed by double clicking on the entry in the list to open that recently visited vehicle.
- Advanced Search – This optionally filters the search results based on an option selected in the pull-down window. To clear a filter, each pull-down has a [blank] option at the top of the list that may be selected. For example, selecting the [blank] option for the Status filter will show all vehicles (available and sold) in inventory that match any of the other selected filter options.
- Custom Fields (any of the custom fields created through the Additional Information tab of a vehicle will be found in this list option)
- Status (Available/Sold)
- Sub-Status
- Make
- Model
- Body Style
- Vehicle Type
- Fuel Type
- Location (Vehicle location)
- New/Used
- Year (Range)
- Asking price (Range)
- Group-by (sorting method used when displaying the vehicles found)
- Quick Find – Lets you search for a record based on one of the following:
2. Inventory List (Upper-Right)
- This section displays all of the inventory based on the search criteria (above).
- You can sort by any of the columns by clicking on the column heading.
- Columns may be rearranged by dragging the column header to the desired location.
- Columns may be displayed or hidden by using the Customize View option from the Options menu.
3. Make-Model Tree (Lower-Left)
- You can search for vehicles by clicking on the make and, optionally, the model.
- This area works in a similar method to Windows Explorer’s Folders tool.
- Clicking on a + box will open the tree for the selected make and display the various models below.
- By clicking on either a Make or a Model, it will highlight the first vehicle found on the list for the corresponding selection.
- For example, clicking on Ford will take you to the first Ford on the list, clicking on Mustang will take you to the first Ford Mustang on the list.
4. Inventory Recap (Lower-Right)
- The inventory recap will display a summary of the vehicle you have highlighted.
- You can maximize the screen by clicking Maximize or you can print it by clicking on Print.
- Clicking on the Blue Stock # text will open the vehicle details window for this vehicle.
- If a vehicle has photos loaded into DeskManager, the last photo clicked on while working in the Photos tool will appear to the right of the recap as a thumbnail image.
The Inventory page has the following buttons available:
- New – Creates a new vehicle record in the inventory database.
- Open – Opens the highlighted inventory item.
- Delete – Deletes the selected (tagged) inventory item. If multiple items are tagged (the check box on the left of the vehicles line is marked) than all items will be deleted one at a time. The program will ask you to confirm the deletion of each vehicle.
- Print – Here you will find various inventory related printing items. Some of these choices will print for multiple vehicles if more than one vehicle is tagged on the inventory screen.
- Options – This menu gives the user a number of things that can be done to the highlighted vehicle without having to open the vehicle. The options available from here are:
- Show all Prospects interested in this car – Selecting this will display a list of prospects that have an Inquiries entry that this vehicle matches.
- Show Service History – Customers using the Service module can review Service Invoices for this vehicle.
- Change Stock Number
- Turn On/Off QuickEdit – This adds an option to the left side of the Inventory screen where the customer may select a field to edit so they can quickly go down the inventory list and update the value in the inventory field without having to open each individual vehicle to make the update.
- For example, by selecting Asking Price from the QuickEdit menu the customer can quickly go down the list of vehicles and change all the asking prices one vehicle at a time right from the inventory page.
