This article covers the validation checks that run when you click Finalize Sale on a deal, and the specific lines that appear in the "Error occurred when finalizing the deal" dialog — Buyer SSN is required, Vehicle is already Sold, Vehicle is in watch list status, Sale of this vehicle is currently blocked, The vehicle is in a different lot, OFAC information is missing, Trade information is missing, Mileage Out should be greater than or equal to Mileage In — plus the separate trade-in conflict dialog.
Scope: this article is only about Finalize Sale being blocked on a deal in DeskManager Online. It is not about a deal that finalized and then didn't reach QuickBooks (see Why Transactions Don't Post or Sync to QuickBooks As Expected), not about a rate or term that changed on its own (see Why the Rate or Term on My Deal Changed by Itself), and not about lender or EVR submission errors (see Submitting to Lender Networks).

Check these first
Finalize Sale (either Print or Go to Accounting) runs a validation pass before it will lock the deal. If anything fails, the "Error occurred when finalizing the deal" dialog lists every reason, one per line. Work the list in order — fixing the first item can clear others.
- Read every line in the error dialog, not just the first one. Each line is one specific check (see the table below), and the dialog can show several at once.
- Buyer information — the buyer record must be attached and complete. Depending on the deal's state, the buyer's SSN, driver's license, and full address can each be required before the deal will lock.
- Vehicle information and price — a vehicle must be attached and Price must be a valid, non-zero value.
- Vehicle status — the vehicle can't already be Sold, can't be in a Watch List status, can't have a sub-status with Prevent Sale of the vehicle turned on, and can't be assigned to a different lot than the deal.
- OFAC screening — missing OFAC information for the buyer blocks finalize until it's completed.
- Trade-in, warranty, GAP, and insurance products — each has its own required fields; an incomplete product entry blocks finalize the same way a missing buyer field does.
- Mileage/kilometer out — Mileage Out (or Kilometer Out) must be filled in and can't be lower than the Mileage In / Kilometer In on the vehicle.
Why this happens: what each message means

OFAC screening is a federal compliance requirement; confirm with your compliance officer how your dealership completes it before assuming this message can simply be dismissed.
Resolving "trade-in already sold or in another deal" conflicts
If the trade-in vehicle on your deal is already marked Sold, or is already the trade-in on a different sold deal, finalize is blocked with its own dialog instead of the error list. The dialog names the trade vehicle and shows one of two reasons:
- "is sold." — the trade vehicle's own inventory record is already marked Sold.
- "is added as trade-in in another sold deal." — the same vehicle is recorded as the trade-in on a different deal that has already been finalized.
The dialog links directly to the trade vehicle's Inventory record. To resolve it:
- Click the vehicle link in the dialog to open its Inventory record.
- Confirm which deal actually took in that trade — if it was added to the wrong deal, remove it from this one and re-enter the correct trade vehicle.
- If the vehicle really was already sold as a trade on another deal, this deal's trade-in entry needs to be corrected or removed before you can finalize.
What to do if that doesn't fix it
- If the dialog lists a field you've already filled in, re-open that section, re-enter the value, and save before retrying Finalize Sale — a value entered but not saved won't clear the check.
- On a deal that was locked and is now in Sold in Edit mode, a plain Save does not attempt to finalize; you still need Finalize Sale (Print or Go to Accounting) to re-run these checks and re-lock it.
- If no message above matches, or the dialog appears with no readable message, the failure is specific to this deal's current data rather than a documented rule.
When to contact support
Contact AutoManager support if:
- The error dialog is blank, or shows a message not listed in this article.
- You've resolved every listed error but Finalize Sale still fails.
- A trade-in conflict is blocking the deal and the resolution steps above don't apply to your situation.
When you do, have ready: the deal number, the exact error text shown, the vehicle's stock number, and the state the deal is in — this narrows down which validation rule is triggering.
