This article guides you through the process of submitting credit applications to Dealertrack from DeskManager Online. While you can still submit leads, this article focuses solely on credit applications.
Prerequisites
Before submitting a credit application, you need to ensure that responses will be received in DeskManager Online. Review the Dealertrack Prequalification Setup article before submitting your first credit application.
Make sure the following requirements are met:
- The Dealertrack module is enabled in DeskManager Online.
- Your accounts are linked between DeskManager Online and Dealertrack.
Once these steps are complete, you can begin submitting credit applications.
Submitting a Credit Application
In any deal within DeskManager Online, go to the Lender tab and select Dealertrack. From there, choose Credit Application, which requires more data than a lead submission.
Required Information
Customer Information
- Buyer’s full name
- Phone number
- Email address
- Current address
- Social Security Number
- Date of birth
- Residential status
- Length of time at current residence
- Rent/mortgage amount
- Employment status
- Employment type
- Employer name
- Length of time with employer
- Gross monthly income
- Employer phone number
Vehicle Information
- Year
- Make
- Mileage
- Wholesale value
Trade-In Information (if applicable)
- Payoff lender*
- Monthly payments (required if a payoff lender is listed)
*If you add a payoff lender, Dealertrack assumes there is a payoff and requires the monthly payment amount from the trade deal.*
Once all required information is entered, click OK. A summary slide-out appears displaying the data to be submitted.
By default, the Applicant section expands while other sections remain collapsed to prevent data overload. If required fields are missing, the corresponding section expands, and missing fields are marked with a red asterisk. Enter the missing information to proceed.
Before submitting, check the Applicant Gives Consent box. If there is a co-buyer, an additional checkbox appears for their credit report consent.
Once submitted, DeskManager Online displays the Dealertrack logo with a message confirming that the data has been sent while waiting for responses.
Note: If no response is received after a significant amount of time, verify that your Dealertrack prequalification settings are correctly configured in the Dealertrack portal.
Receiving and Reviewing Lender Responses
Lender responses are not always immediate. You will receive notifications whether you remain in the deal or move on to another one.
DeskManager Online alerts you through the notification icon in the top bar. You will receive one notification per deal when an approval, conditional approval, or denial is received. The number of responses depends on how many lenders were selected, with Dealertrack allowing up to six lenders based on prequalification checks.
Each lender response includes:
- Lender name
- Application status
- Stipulations
- Amount financed
- Down payment
- Term
- APR
- Monthly payment*
- Buy rate
*Dealertrack only processes monthly payment breakdowns and will overwrite any other payment frequency settings.*

Selecting a Lender Offer
When you find a suitable offer, click Select Offer to apply the lender’s terms to the deal. A confirmation window appears, asking you to confirm. Clicking Continue updates the deal structure, applying the lender’s name, buy rate, and discount amount in the Finance tab. The selected offer is then displayed at the top.
Resubmitting a Credit Application
Dealertrack does not allow updates to an existing credit application. If you need to make a correction, you must submit a new credit application, which creates a new lead in Dealertrack.
If you need to update financing details after a lender decision, click Resend to send the updated information to the same lender.
Lender Decision Hub
Beyond individual deal responses, you can access all lender responses from the Lender Decisions hub. This is located in the left sidebar under Deals Lender Decisions and includes responses from all lenders, not just Dealertrack.
You can filter results by the date the credit application was sent and by lender decision status. Additionally, you can search by first or last name, stock number, VIN, or lender.
